How do I share my academic records with the World Education Service (WES)
If you are applying to World Education Services (WES) for immigration, employment or further study in Canada or the United States, there are two ways to provide your academic records to WES, depending on when you graduated and whether you have access to your Higher Education Achievement Report (HEAR).
Option 1: Share your HEAR through Gradintelligence (for students who graduated from 2008 onwards)
If you have access to your HEAR in Gradintelligence (Gradintel), you can share it directly with WES free of charge using the Share or Generate Secure Link/Document Share function.
You can either:
Share your HEAR directly with WES through the Gradintelligence platform; or
Provide WES with the secure verification link generated by Gradintelligence
Please note that WES will not accept downloaded copies of HEAR reports that have been emailed or uploaded directly by students. Records must be shared through the official Gradintelligence verification process.
If you need help with your HEAR access please email HEAR@surrey.ac.uk directly.
Option 2: Request the University to send your records to WES
If you do not have access to your HEAR, or you graduated before 2008, you can ask the University to send your academic records directly to WES.
Once you have submitted your WES application:
1. Download the relevant Academic Records Request Form (Canada or U.S.) from the Required Documents section of your WES account
2. Complete the top section of the form, including your WES reference number, signature and date
3. Email the completed form to examinations@surrey.ac.uk
4. Purchase a PDF transcript from the University's online store.
A fee of £12 applies for this service. The University will send your transcript directly to WES in accordance with WES requirements.
Please note: if you graduated before 2008, we cannot guarantee that we will still hold a full record of your module marks. Where marks are no longer available, we can instead provide an official award confirmation letter confirming your qualification and stating that detailed marks are no longer held by the University.
PhD graduates
PhD students do not have academic transcripts. Instead, the University will send an official award confirmation letter to WES for verification purposes.
Graduates of Associated Institutions
If your award was granted through an Associated Institution, the University of Surrey can provide an award confirmation letter only. Your Associated Institution holds your transcript records and must send transcript documentation directly to WES where required.
